Booking conditions for mountain bike weekends at Mazzard Farm
Please contact us by email or phone on to confirm that there is space available on your chosen weekend.
Once a date has been agreed, a non-refundable deposit of £100 is needed to confirm your booking. Payment is by bank transfer or cheque. The balance is due six weeks before the event, and will be invoiced by, and paid direct to, our accommodation partner Mazzard Farm. If you are booking less than six weeks before the event we require full payment upfront.
We must receive a completed rider information and consent form from everyone involved in the booking.
On receipt of your payment we will send you confirmation and information about what to wear and what to bring on your ride.
Your safety
While we do our best to choose the best routes to match your requirements and skill level, mountain biking is not without risk. We manage that risk by advising you of known hazards before you reach them. We expect you to follow our advice and ride within your ability. If you find part of the ride is too difficult please tell your guide, and if in doubt get off and walk that section. We are always happy share tips to improve your skills.
Certified helmets must be worn at all times. Please check that they are in good condition and in warranty (see right). No helmet, no ride.
Please make sure that your mountain bike is in good condition before you come on a ride. We will do a safety check of all bikes at the start of each ride. If yours is deemed unsafe or unsuitable for the terrain, you will not be able to join the ride. NB: hybrid bikes are not suitable for our rides.
Health and fitness
Mountain biking is a strenuous activity. Although prior experience is not necessary on all our rides, you do need to be in good general health, with a reasonable level of fitness for the ride booked. The women's weekends involve up to 25 miles of off-road riding per day, and while the hills in Devon are short, they are also steep. You will enjoy the ride much more if you have a good level of fitness.
If you do not meet the requirements of a group ride, we reserve the right to exclude you without liability for a refund. If you’re not sure about your fitness please ring us in advance, we’re very happy to talk it through.
Cancellation Policy
If you cancel your booking more than 60 days before the start date of your stay, you will receive a refund of the money paid, minus the non-refundable deposit.
If you cancel your booking less than 60 days before the first day of your trip you will receive no refund.
We advise you to purchase trip cancellation and interruption insurance at the time of booking which will cover cancellation fees.
Circumstances beyond our control (Force Majeure)
If for any reason we have to cancel your booking in advance due to circumstances beyond our control (for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property - “force majeure“), you will be refunded the full amount of the booking, including deposit. We will also do all
we can to help you find alternative accommodation. If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.
Unless we believe the conditions to be dangerous we will go ahead with your ride whatever the weather, so please make sure you come well prepared for the conditions forecast. If we have to cancel the ride because you do not have the right kit, we will not be able to give a refund.
Photographs
Photographs and video footage from our rides may appear on our website and social media channels. If you do not want to be photographed or filmed, please say so when booking your ride.
Data protection
The personal information requested when you book, and any further information is held in our files. We assure you that this will not be shared with anyone outside the company. Your contact details will be used to send you information about future offers from Bike Guide Devon. If you do not want to receive these emails, please let us know or click the unsubscribe link.
Gift vouchers
Gift vouchers can be used as full or part payment for guided rides or one to one confidence boost sessions. All vouchers must be paid for in full in advance, and are not refundable. Vouchers must be used within a year of purchase (although we may, at our discretion extend them for up to three months).
